Notice on the processing of personal data

By this notice MOLDASIG VIENNA INSURANCE GROUP S.A., IDNO 1002600053315, with its registered office at Chișinău, str. Albișoara 42, MD-2005, Republic of Moldova, as data Operator and in accordance with Law no. 195/2024 on personal data protection, informs you how your personal data is collected and processed.

1. The personal data operator

2. Purposes of processing and legal bases

  • Risk assessment and issuing the policy: analysis of the risk profile, including quoting, calculating the insurance premium and generating the contract. Basis: art. 6 para. (1) letter b) of Law no. 195/2024, performance of a contract.
  • Managing the contract: administering the policy, notifying you about instalments or the expiry of cover, amending the contract. Basis: art. 6 para. (1) letter b).
  • Handling claims and paying losses: opening the claim file, assessing the damage, establishing the loss and paying compensation. Basis: art. 6 para. (1) letter b).
  • Legal compliance and mandatory reporting: reporting data, archiving, handling complaints. Basis: art. 6 para. (1) letter c), compliance with a legal obligation of the Operator.
  • Preventing insurance fraud: checking the claims history and identifying attempted fraud, in order to protect the insurance funds. Basis: art. 6 para. (1) letter f), the Operator's legitimate interest in securing its financial activity.
  • Direct marketing and personalised offers: sending information about new insurance products or about promotional campaigns run by the company. Basis: art. 6 para. (1) letter a), free and informed consent, given separately.

3. Categories of data processed

  • Identification data: surname, first name, IDNP, the series and number of the identity document, date of birth, driving licence number, the date the category was obtained.
  • Contact data: home or correspondence address, telephone number, e-mail address.
  • Data specific to the insured property: the registration certificate number, the registration number, the chassis number (VIN), the technical details of the property.
  • Civil status data and data about family members.
  • Financial data: bank account number (IBAN), payment history, claims history (bonus-malus class).
  • Data concerning health, where applicable: processed strictly on the basis of your explicit consent, under art. 9 of Law no. 195/2024, for the purpose of establishing contractual compensation obligations.

Refusing to have the data listed above processed may make it impossible to deliver the service concerned.

Please note. The secure channels for sending us your personal data are the form available on the Company's website, https://moldasig.md, and the Company's official e-mail address, info@moldasig.md. Sending personal data, including copies of documents containing such data, through other means of communication (for example Viber, WhatsApp and similar) may present risks to the security and confidentiality of personal data, over which the Operator cannot exercise full control.

Please pass this notice on to the people whose data you have given us, so that they are correctly and fully informed about our processing of their personal data, about the purposes and bases of that processing, and about their rights in relation to it. If the data requested by the Operator concerns your minor children, you have the right to decide whether or not to give it to the Company.

4. Recipients of the data

In order to achieve the purposes above, the recipients of personal data may include, where applicable:

  • persons empowered within the Company;
  • state and regulatory authorities (the National Bank of Moldova, the National Commission for Financial Markets, the National Centre for Personal Data Protection, the State Tax Service);
  • the National Bureau of Motor Insurers of the Republic of Moldova;
  • the information systems and resources used to exchange data through interoperability mechanisms;
  • insurance distributors (brokers, insurance agents, bancassurance agents) and reinsurance companies, both national and international partners;
  • contractual partners and providers of ancillary services (audit, clinics, experts, loss adjusters, vehicle servicing or repair units, IT service providers, postal and courier service providers).

Certain categories of data may be stored and processed in other countries.

5. How long data is stored

Personal data is kept for as long as is necessary to achieve the purposes for which it was collected, and for the period required by applicable law, including in order to meet record keeping, archiving, reporting and fraud prevention obligations and to exercise or defend the Insurer's rights. Once the retention period expires, the data will be deleted, destroyed or anonymised in accordance with internal procedures and applicable legal requirements.

6. Your rights

You have the following rights, which you can exercise through a written request to our Data Protection Officer:

  • the right of access to your personal data;
  • the right to rectification of inaccurate or incomplete data;
  • the right to erasure of data, within the limits of the law, where there is no legal obligation to keep it;
  • the right to restriction of processing;
  • the right to object to processing based on legitimate interest;
  • the right to withdraw consent at any time, for direct marketing, without affecting the lawfulness of processing carried out before the withdrawal;
  • the right to lodge a complaint with the National Centre for Personal Data Protection (CNPDCP), str. Serghei Lazo 48, MD-2004, Chișinău, telephone (022) 820 801, e-mail centru@datepersonale.md.
